Job Description

JOB PURPOSE

The person appointed will work as part of the Apprenticeship Hub supporting Faculties to ensure a successful and efficient delivery of all End Point Assessments (EPA) across the Weston College Apprenticeship provision. The post-holder will be responsible for the day to day management of all EPA organisations and associated contracts, updating EPA platforms, apprentice registrations and apprentice referrals for their EPA. The post-holder will liaise with Employers and Apprentices on assessment dates, communicating achievements to employer and apprentices, payments and associated administration. This role is a critical function in ensuring timely successful outcomes for our apprentices and their employers.

KEY DUTIES AND RESPONSIBILITIES

The person appointed will report to and be responsible to Head of Apprenticeship Operations for the following:

• Prepare contracts for authorisation for End Point Assessment Organisations (EPAOs) selected by an Apprentice’s employer and managing the annual review process to identify where the College should renegotiate contracts against performance.

• Gather information on the EPA process for each End Point Assessment Organisation (EPAO) so that referrals meet the requirements and are not unnecessarily delayed.

• Research EPAO organisations and prices in order to negotiate with EPAOs to achieve best value against EPA predicted volumes.

• Analyse EPA feedback and provide information to EPAOs from the feedback of apprentices, employers and staff to improve the EPA process.

• Manage access to EPAO platforms for College staff and to ensure all information and evidence is submitted to confirm the referral and tracking of an apprentice’s EPA.

• Manage the communication with employers and apprentices on the outcomes to their EPA.

• Manage the internal referral process through SharePoint to ensure all referrals by staff have the required evidence to commence their EPA. Update SharePoint so progress can be tracked.


• Administer and raise purchase orders and subsequent payments of invoices from EPAOs. Administer and raise invoice payments to employers for resit fees that are recoverable from an Apprentice’s employer.

• Liaise with the Apprenticeship Finance Officer to confirm payments have been received by employers before EPA referrals.

• Deliver training and advice and guidance sessions to Faculties to ensure EPAs are appropriately planned, and they understand the delivery requirements including times, facilities, resources and additional staffing. Support Faculty Delivery Teams on an ongoing basis to schedule and execute outstanding EPAs for their apprentices.

• Coordinate dates of EPA with Faculty, Apprentice and Employer to ensure this is completed at the right time.

• Review EPA requirements for all Apprenticeship Standards delivered by the College and communicate any changes to faculties so apprentices are not disadvantaged.

• Produce monthly reports for management on EPAs referred, booked and completed.

• Manage ISO27001 compliance, action plans, registers and visits to ensure the department is compliant to this standard.
