1.1 A contract is legally formed and a booking confirmed upon the occurrence of any of the following: receipt of a signed booking form, a written confirmation via email, or the payment of an invoice. Once confirmed, bookings are bound by the cancellation and transfer policies outlined in Section 3.
1.2 Upon receipt of a booking request, ATEM Trading Co Ltd will issue an invoice to the exhibitor.
1.3 All bookings must be accompanied by a completed booking form.
2.1 Standard payment must be made to ATEM Trading Co Ltd within seven (7) working days of the invoice date or prior to the date of the first event, whichever occurs sooner. Account details are specified on the invoice.
2.2 Any alternative payment schedules or terms are strictly subject to the prior written discretion and approval of ATEM Trading Co Ltd.
2.3 All payments must be received in full before an exhibitor is permitted to access the venue or set up their stand. ATEM Trading Co Ltd reserves the absolute right to refuse exhibition entry if pre-payment has not been cleared.
3.1 Once a booking is confirmed, the full invoice amount is 100% non-refundable.
3.2 Cancellations Outside of Two Weeks: If the exhibitor cancels their booking in writing more than fourteen (14) days prior to the scheduled event date, they are permitted to transfer their booking/stand package to a future available event. The transferred booking must take place within the same calendar year as the original event date, subject to the expiry terms in Section 6.4.
3.3 Cancellations Within Two Weeks: If the exhibitor cancels their booking, or requests a change, within fourteen (14) days or less of the scheduled event date, they are completely ineligible to transfer the booking. The exhibitor forfeits the entire booking and all associated fees, with no refunds, credits, or roll-overs permitted.
3.4 Exhibitors who fail to attend an event ("No-Shows") forfeit their entire fee and are completely ineligible to roll their stand package over to a future date. To avoid being classified as a No-Show, exhibitors must notify ATEM Trading Co Ltd in writing before the event begins, subject to the timelines in Sections 3.2 and 3.3.
4.1 ATEM Trading Co Ltd will provide a public recruitment and networking event under the title of a Jobs Fair. The purpose of the event is for exhibitors to advertise vacancies, promote training courses, provide career advice, build brand awareness, and network.
4.2 Unless otherwise agreed in writing, a standard stand package includes: one (1) table, one (1) tablecloth, and two (2) chairs.
4.3 Utilities such as Wi-Fi and electrical access are subject to venue availability. If the exhibitor has specific layout requirements, electrical needs, or audio-visual requests, these must be communicated via email to jessica@thejobfairs.co.uk prior to the event.
4.4 ATEM Trading Co Ltd promotes events through various publications and third-party networks. However, ATEM Trading Co Ltd cannot guarantee specific attendee numbers. Any numbers quoted in prior communications represent historical averages from previous events and do not constitute a guarantee for future events.
5.1 While event details are correct at the time of publication, ATEM Trading Co Ltd reserves the right to make changes to the specific location, room, and date of the event without prior notice due to operational necessities or circumstances beyond its control.
5.2 While every effort is made to maintain advertised floor plans, ATEM Trading Co Ltd reserves the right to vary stand positioning and room layouts. Such changes do not entitle the exhibitor to any refund, discount, or credit.
5.3 If an event date is altered by ATEM Trading Co Ltd and the exhibitor is verifiably unavailable on the newly scheduled date, a credit will be issued to the exhibitor subject to the terms in Section 6.3.
6.1 Where circumstances beyond our control force the cancellation of an event in its entirety, ATEM Trading Co Ltd cannot offer monetary refunds due to irrecoverable overheads (including but not limited to venue hire, marketing costs, staff wages, fuel, mileage, and accommodation).
6.2 Force Majeure includes, but is not limited to: acts of god, extreme weather conditions, venue damage, double-bookings by the venue, war, civil disorder, terrorist activity, strikes, industrial disasters, or any unforeseen event making the hosting of the fair unfeasible or unsafe. In such instances, the event will be rescheduled to the next possible date.
6.3 Postponed/Credited Bookings: Where an event is cancelled or postponed by ATEM Trading Co Ltd, ATEM Trading Co Ltd will issue a credit and do its utmost to transfer the booking to the next available event (subject to venue capacity and cost feasibility).
6.4 Credit and Transfer Expiry: Any booking transfers approved under Section 3.2, or credits issued due to alterations/force majeure under Section 5 or Section 6, must be strictly utilized for an event occurring within the same calendar year as the originally scheduled event. Unused transfers or credits will automatically expire at the end of that calendar year (31st December), and all associated fees will be entirely forfeited.
7.1 ATEM Trading Co Ltd accepts no responsibility or liability for any indirect, secondary, or consequential losses suffered by exhibitors or delegates.
7.2 ATEM Trading Co Ltd is strictly not liable for any third-party travel, transport, or accommodation costs incurred by exhibitors due to event cancellation, postponement, or scheduling shifts. Exhibitors are strongly encouraged to maintain their own commercial event insurance.
7.3 ATEM Trading Co Ltd is not liable for third-party infrastructure failures on the day of the event, including but not limited to venue Wi-Fi drops, local power outages, or network failures.
8.1 Stand Subletting: Exhibitors are strictly prohibited from subletting, sharing, or assigning their stand space to third parties. ATEM Trading Co Ltd reserves the right to immediately cancel any booking suspected of subletting. The responsible exhibitor will forfeit their stand fee and all rights to a refund or credit.
8.2 Late Arrival: ATEM Trading Co Ltd reserves the right to refuse entry to any exhibitor arriving more than 30 minutes after the official start time of the event.
8.3 Event Hours: Due to health and safety regulations and jobseeker expectations, exhibitors are required to remain set up and present at their stand for the full operating hours of the event. Early packing up is prohibited.
8.4 Material and Behavior Control: ATEM Trading Co Ltd reserves the right to demand the immediate removal of any marketing materials, items, or displays not in keeping with the professional theme of a Jobs Fair. No helium balloons are permitted in the venues. ATEM Trading Co Ltd reserves the right to eject any individual engaging in anti-social, aggressive, or disruptive behavior.
8.5 Logistics and Couriers: Exhibitors couriering equipment directly to or from the venues must make direct arrangements with the venue to ensure receipt is acceptable. ATEM Trading Co Ltd accepts no liability for lost, misplaced, or damaged equipment.
8.6 Equipment Testing: ATEM Trading Co Ltd reserves the right to inspect PAT (Portable Appliance Testing) certificates for any electrical devices brought onto the premises by exhibitors. If a valid certificate cannot be produced, the exhibitor must refrain from using the equipment. ATEM Trading Co Ltd accepts no liability for damage caused by or to uncertified devices.
9.1 By confirming a booking, the exhibitor grants ATEM Trading Co Ltd a royalty-free, non-exclusive license to use their company name, branding, and corporate logo across digital and print communications solely for the purposes of promoting, marketing, and documenting the event.
9.2 Exhibitors may use the ATEM Trading Co Ltd name and "The Bridge Job Fairs" logo to promote the event, provided prior written permission is obtained. Third-party advertising requests on behalf of an exhibitor must be submitted to ATEM Trading Co Ltd by both parties for approval.
10.1 For promotional, commercial, and documenting purposes, professional photography and video production may take place during the event. This may include press photographers, digital content creators, reporters, and broadcast television crews. By attending, exhibitors and their staff consent to being photographed or filmed for promotional use.
11.1 Views expressed by individual exhibitors are entirely their own. ATEM Trading Co Ltd explicitly disclaims any liability for advice given, representations made, or views expressed by any exhibitor or third party at an event.
12.1 ATEM Trading Co Ltd maintains robust corporate insurance coverages, including:
Public Liability: Covering legal liability for accidental injury to third parties and accidental damage to their property caused by the business activities of ATEM Trading Co Ltd. Limit of indemnity: £5,000,000 for any one incident.
Products Liability: Covering legal liability for accidental injury to third parties and accidental damage to their property caused by any product, equipment, or service supplied by ATEM Trading Co Ltd. Limit of indemnity: £5,000,000 in total within any one insurance period.
13.1 ATEM Trading Co Ltd does not collect, manage, or provide personal candidate data or jobseeker information to exhibitors. Exhibitors are solely responsible for collecting jobseeker data on-site and processing it securely as an independent Data Controller in accordance with the Data Protection Act 2018 and relevant UK GDPR guidelines.
13.2 Information regarding how ATEM Trading Co Ltd processes, uses, and secures exhibitor corporate data is detailed comprehensively in the Exhibitor Privacy Notice.
13.3 By registering for an event, exhibitors will automatically receive operational updates regarding the specific event and corporate communications regarding future associated events.
14.1 Any controversy, dispute, or claim arising out of or relating to this agreement, its formation, or any breach of its terms shall be governed exclusively by the Laws of England. The exhibitor explicitly agrees to submit to the exclusive jurisdiction of the English Courts.
